Mastering Virtual – Part 3 of 5: When, Where and Why to use Live Video in your Virtual Consultations

SmileSnap • November 5, 2020

Previously in part 2 of our 5-part series on mastering virtual with our partners over at The Invisible Orthodontist (TIO), SmileSnap’s Director of Customer Success, Stacey Bagwell and TIO’s Director of Community and Content, Casey Bull, shared with us tips to track conversion and reception rates. This is particularly important when implementing anything new. In case you missed it you can catch part two here!

In part 3 of our series, Stacey and Casey discuss the use of the live video feature. This can be a tricky component to implement into your virtual consultation process because of the live time commitment for both your practice and your potential patients and should be thoughtfully added to maximize value and outcomes.

As you continue to evolve your virtual process, it is important to remember to start with a simple process that can be evolved and built upon. Live video is a powerful feature to lock in and get patients to accept treatment before they step foot into your office, but it needs specific placement for it to be valuable. TIO members have completed thousands of virtual consultations and has ironed out their own process for knowing how to maximize results for each step. The TIO team found early on that the video component seemed to be the most difficult to implement which is why we elected to focus one of our series videos solely on this SmileSnap feature.

Casey and Stacey again dig into the do’s and don’ts of the live video component of the virtual consultation process. Not only do they discuss some common sales tips such as questions to ask and the importance of having the patient be the one talking and telling their story. They also review the specifics of what to tailor in your process as it relates to live video. We hope that this video helps you and your busy practice better identify ways that live video can be a part of your process, OR give you a reason to simplify your process at a higher level.

If you have any questions or want direction on how to improve your virtual process and how to make better use of live video, SmileSnap offers free 15 minute strategy sessions with our expert customer success team. To book a success meeting you can CLICK HERE or feel free to email Stacey directly at [email protected] for any questions you may have.

Security isn’t optional—it’s essential. Patients want reassurance that their data is safe and private. SmileSnap is HIPAA‑compliant by design. But how do you communicate that trust? In this blog, we’ll break down SmileSnap’s security features: end‑to‑end encryption, secure cloud storage, data access controls, video audit logs, and regular compliance audits. Then we reveal how to build trust on your website and patient intake flows with clear messaging: trust badges, FAQ transparency, and privacy reminders at form submission. We’ll also guide your staff in verbal reassurances during calls or chats. Included: email templates and scripts that explain “Why privacy matters to us + how we protect you.” Plus, strategies to proactively address data concerns: opt‑out info, consent acknowledgment, and easy deletion requests. We’ll include a sidebar “Show‑don’t‑tell” checklist: where to place badges, which copy phrases work best, and how to train your team. The result: patients feel secure, perceived risk drops, and consult volume rises. This isn’t just HIPAA—it’s smart marketing.

Virtual consults aren’t just for cleanings and checkups—they’re powerful for specialty services, too. Think Invisalign, implants, whitening, veneers: patients love initial screening with clear pricing, photos, and treatment previews—all without leaving home. In this blog, we dive into best practice workflows for five specialties. For example, Invisalign: intake asks for smile selfies, occlusion angles, and lifestyle tags (e.g. athletic). Snap results? Upload a Clarity photo with overlay graphics. Team responds with aligner pricing tiers and an interactive scheduler. For implants: intake collects gum health history and bite force notes; response includes radiograph prep tips and provisional timeline. We also explore cosmetic treatments like whitening and veneer preview technology. Each specialty needs tailored intake, messaging, and follow‑up. We share sample form questions, video prompts, and demo scripts. You’ll see how SmileSnap’s customizable widget and video tools align with specialty conversion goals. The result: higher case acceptance, fewer in‑office assessments, and deeper patient trust from the first click.
